Assistant Superintendent of Instruction and Federal Programs

General Description

  • The Office Assistant plays a crucial role in supporting the daily operations. This position involves various administrative tasks, ensuring efficient communication, and providing excellent customer service to all stakeholders.

Preferred Qualifications

  • A high school diploma or equivalent; additional education or training in office administration is preferred.
  • Previous experience in an office environment, preferably in a school setting.

Essential Job Functions

  • Assist with daily office operations, including filing, data entry, and document preparation.
  • Serve as the first point of contact for visitors and phone calls; efficiently relay information to students, parents, and staff.
  • Maintain records and files, ensuring confidentiality and compliance with school and division policies.
  • Monitor and maintain office supplies inventory; order supplies as needed.
  • Help organize school and division events and activities, coordinating logistics and communications as required.
  • Work collaboratively with staff to support department and division initiatives and goals.
  • Assists in securing professional development resources (i.e. lunch, and breakfast supplies) 
  • Schedules meetings as requested
  • Maintains inventory of all grant purchases
  • Assists with the preparation of items for the annual audits and/or monitoring of federal programs
  • Responsible for sorting, verifying inventory, and delivering requested items to schools
  • Create, and develop documents and other needed items at the discretion of the supervisors
  • Maintains all files related to instruction, grants & technology
  • Serves as office backup for the receptionist
  • Serve as backup for Omega submissions
  • Other duties as assigned

  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and school management software.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong interpersonal skills and a customer service-oriented attitude.
  • Flexibility to adapt to changing priorities and demands.

Requirements

  • Minimum of 18 years of age.
  • References:  Applicants must submit two (2) written references: one reference should be from a current or previous supervisor. Applicants may use the Nottoway County Public Schools reference form that is incorporated in the online application or a signed, dated letter of reference.
  • Successful outcomes of the following background investigations/tests are required before any offer of employment can be finalized:
    • Tuberculosis Screening/Test
    • Federal Bureau of Investigation (FBI) Criminal History Investigation
    • State Police Criminal History Investigation
    • Child Protective Services (CPS) Investigation

Special  Requirements

  • Possession of a valid driver’s license.
  • Regular and reliable attendance is an essential function of this position.
